Position Title:         Deputy Director of Human Resources
Status:                 Full-time, Non-Bargaining Unit
Hours:                  M-F, 9:00am – 4:30pm
Posting Period:         March 1, 2022 – March 14, 2022

Summary: Under general supervision of the Director of HR, the Deputy Director of HR performs and oversees a wide range of human resources functions in compliance with local, state, federal, and organizational regulations. Strong interpersonal skills are required to develop rapport and trusting relationships with leadership and other team members. This position carries out responsibilities in the following functional areas: employee and labor relations, record keeping, file maintenance, policy interpretation and implementation, employment law compliance, talent acquisition, employee development and training, and workers compensation and other health and safety concerns.  May carry out additional responsibilities as requested.

Summary: Provides secretarial support to the City Treasurer related to City assessments. Maintains a close working and highly responsive relationship with the City Treasurer, while performing routine admini strative and clerical support duties. This position requires a thorough knowledge of office routines and an understanding of the organization, responsibilities, and procedures related to the work of the office.

Duties include but not limited to:

  1. Under minimum direction, plans and arranges work to meet requirements of all assignments
  2. Types, edits, and proofreads correspondence, ensuring proper appearance, spelling, punctuation, and grammatical accuracy
  3. Prepares outgoing mail and correspondence including e-mail and faxes
  4. Composes routine correspondence and reports from general instructions
  5. Answers and forwards telephone call s, reviews and distributes mail, schedule and arranges meetings, maintains office files, records and reference materials and operates office equipment, as needed
  6. Under guidance, compile, calculate, arrange data and prepare reports, summaries, charts, graphs, etc., as requested
  7. Answers constituent inquiries upon request and direct them accordingly if necessary
  8. Assists in various administrative budgets, expense account preparations, etc.
  9. Prepares drafts offinancial reports and maintains ledgers
  10. Assists in the performance of various departmental tasks
  11. All other duties as assigned

Maintain close working and highly responsive relationship to the City Accountant and Deputy Director while performing routine administrative and clerical support duties. This position requires a thorough knowledge of office routine and an understanding of the organization, responsibilities, and procedures related to the work of the office.

Duties include but not limited to:

  1. Under minimum direction, plans and arranges work to meet requirements of all assignments

  4. Handles confidential information
  5. Composes routine correspondence and reports from general instructions
  6. Answers and forwards telephone calls, reviews and distributes mail, schedules and arranges departmental meetings, maintains office files, records and reference materials and operates office equipment, as needed
  7. Under guidance, compile, calculate, arrange data and prepare reports, summaries, charts, graphs, etc., as
    requested
  8. May assist in various administrative budgets, expense account preparations, etc.
  9. May prepare drafts of financial reports and maintain ledgers
  10. Prepares pre-list and records attendance for the Department of Accounts and Finance
  11. Assists in the performance of various departmental tasks and other duties as assigned

Summary: Provides secretarial support to the Department of Human Resources. Maintains a close working and highly confidential and responsive relationship with the HR Director, while performing routine administrative and clerical duties. This position requires a thorough knowledge of office routines and an understanding of the organization, responsibilities, and procedures related to the confidential work in the office.

Duties include but not limited to:

  1. Entry and maintenance of personnel information within HRIS system
  2. Review I-9’s to ensure each form is in compliance and processed
  3. Compose routine correspondence and reports from general instructions or from intrinsic job knowledge
  4. Under guidance, compile, calculate, arrange data and prepare reports, summaries, charts, graphs, etc., as required
  5. Process requests for employment verifications and other reference checks
  6. Answer and forward telephone calls, file, review and distribute mail, schedule and arrange departmental meetings, create and maintain office files, records and reference materials and operate office machines, such as fax/copy machines as needed
  7. Works closely with the crossing guard clerk to ensure school crossing guards are properly trained and have all background clearances before beginning a new school season (FBI clearances and child abuse clearances)
  8. Handles confidential and non-routine information
  9. Plans and arranges work, under minimum direction, to meet requirements of all assignments
  10. Performs miscellaneous clerical duties related to the organizational operations
  11. Performs related work as assigned
